GST Registration Online: A Step-by-Step Guide for Businesses

Since the Goods and Services Tax (GST) was rolled out on 1 July 2017, it has unified indirect taxation across India. GST registration online is now mandatory for most businesses that cross prescribed turnover thresholds, and voluntary for others who wish to claim input tax credit. If you run a business in Kolkata or anywhere in India, understanding when and how to register for GST is essential to stay compliant and avoid penalties. This guide explains the entire process, documents, fees, and timelines.

Who Needs to Register for GST?

Under the Central Goods and Services Tax (CGST) Act, 2017, the following must register for GST:

  • Businesses with turnover exceeding ₹40 lakh (goods) or ₹20 lakh (services) in a financial year. The threshold is ₹20 lakh (goods) and ₹10 lakh (services) for special category states.
  • Interstate suppliers: Any business making interstate taxable supplies must register, regardless of turnover.
  • E-commerce operators and sellers: All sellers on platforms like Amazon, Flipkart, and Zomato must register.
  • Casual taxable persons: Temporary registrants who undertake occasional supplies.
  • Non-resident taxable persons: Foreign businesses supplying in India.
  • Input service distributors and TDS/TCS deductors.
  • Agents of a principal supplier.

Voluntary registration is available for businesses below the threshold, allowing them to claim input tax credit (ITC) on purchases.

Types of GST Registration

  • Regular Registration: For most businesses—monthly or quarterly returns.
  • Composition Scheme: For small businesses with turnover up to ₹1.5 crore (₹75 lakh for services). Lower tax rate and simplified returns, but no ITC.
  • Composition Dealer (Section 10): Pays a fixed percentage of turnover as tax.

Documents Required for GST Registration

  • PAN of the business and promoters
  • Aadhaar of the promoters/authorised signatory
  • Proof of business address: Electricity bill, rent agreement, or property tax receipt
  • Bank details: Cancelled cheque or bank statement
  • Photograph of the promoters
  • Constitution documents: Partnership deed, MOA/AOA, or LLP agreement
  • Digital Signature Certificate (DSC) for companies and LLPs
  • Letter of authorisation or Board resolution naming the authorised signatory

Step-by-Step GST Registration Process

Step 1: Visit the GST Portal

Go to the official GST portal at gst.gov.in. Before applying, ensure your Aadhaar is linked to your mobile number for OTP-based verification. Our services include GST registration assistance.

Step 2: Fill Part A of the Application

Under Services → Registration → New Registration, enter your PAN, mobile number, and email. An OTP is sent to both the mobile and email. After verification, a Temporary Reference Number (TRN) is generated.

Step 3: Fill Part B of the Application

Log in with the TRN and complete Part B within 15 days. Enter business details, address, goods or services, and upload all required documents. Select the appropriate composition scheme if applicable.

Step 4: Submit the Application

Verify the application using DSC or Aadhaar OTP. After submission, an Application Reference Number (ARN) is generated, and the application is sent to the jurisdictional officer.

Step 5: Aadhaar Authentication

Complete Aadhaar authentication. Without it, your registration will be issued but marked as "Aadhaar not authenticated," and refund claims and ITC may be restricted.

Step 6: Clarification or Approval

If the officer seeks clarification, you must respond within 7 working days. If satisfied, the officer issues the GST Registration Certificate (Form GST REG-06) within 7 working days. If a site visit is required, it is conducted before approval.

GST Registration Fees

There is no government fee for GST registration—it is free. However, professional fees for a consultant or advocate to prepare documents, file the application, and handle clarifications typically range from ₹1,500 to ₹5,000.

Timeline for GST Registration

Once a complete application is submitted, the GST officer must process it within 7 working days. If a clarification is sought, the timeline extends by another 7 days after you respond. In practice, registrations are often issued within 3–10 working days.

Penalties for Not Registering

Under Section 122 of the CGST Act, a person who fails to register when required is liable to a penalty of ₹10,000 or the amount of tax evaded, whichever is higher. Additionally, the person may be required to pay the tax with interest under Section 73 or 74, along with penalties up to 100% of the tax amount.

GST Returns After Registration

Once registered, you must file periodic returns:

  • GSTR-1: Outward supplies (monthly or quarterly)
  • GSTR-3B: Summary return and tax payment (monthly)
  • GSTR-4: Composition dealers (annually)
  • GSTR-9: Annual return (for regular taxpayers)

Failure to file returns attracts late fees and can lead to cancellation of registration.

Common Mistakes to Avoid

  • Selecting the wrong business activity or HSN/SAC code
  • Uploading unclear or incorrect address proof
  • Not linking Aadhaar with mobile before applying
  • Filing returns late after registration—return filing begins from the effective date of registration
  • Forgetting to update changes in business details within the prescribed time
